Position: School Receptionist and Administrative Support (Senior School)

Term/Status: Permanent, 36 hours per week (Monday to Thursday, 8am to 5pm)

Department: Front Desk Administration

Reports To: Senior Executive Assistant to the Head of School

Hourly Rate: $23 – $26 per hour

Start Date: May 25, 2026

Position Overview:

St. George’s School’s Front Desk provides many services to the St. George’s community. Our receptionists strive to provide a warm and welcoming environment, enhance the flow of information, and give superior customer service to ensure the effective and efficient operation of the Front Desk. The Receptionist also provides administrative support in fostering the mission of St. George’s School. This role assists some of our Leadership team with administrative work and works collaboratively with our Senior Executive Assistant to the Head of School.

This appointment will consist of four days per week at our main reception desk (36 hours per week, Monday to Thursday). Additionally, this position provides coverage as needed when the other receptionist or attendance clerk is on vacation or otherwise absent – therefore, a flexible schedule is required for this position. General reception hours are Monday – Thursday, 8am – 5pm; Friday, 8am – 4pm.

Key Responsibilities:

  • Answering main switchboard calls and greeting visitors.
  • Coordinating incoming & outgoing mail and local & international courier packages.
  • Assisting students, staff, and parents with general requests and enquiries.
  • Creating display announcements.
  • Tracking and ordering general office supplies.
  • Training for those who provide switchboard relief.
  • Cross-training and back-up support for the Attendance Clerk position.
  • Assist multiple departments in the administration, planning, organization and execution of various key projects and workshops, including (but not limited to) school events.
  • General administrative support and logistics coordination (e.g. maintenance requests, scheduling meetings, transport, sign-up sheets, room bookings, catering orders, communicating information to stakeholders, preparing slides, etc.).
  • Document & Data Management – Reformatting, organizing and updating school policies, handbooks, meeting notes, checklists, etc.
  • Submitting expense claims and other financial receipts.
  • Consolidating photos and stories for communications, managing photo archives.
  • Supporting administrative staff with other duties as required.

 

Qualifications:

  • 1-year reception or office management experience.
  • Previous experience operating a multi-line phone system.
  • Educational credentials in Office Administration are highly preferred.
  • Strong business writing skills, with a background in English or Communications preferred.
  • Strong technical skills, with experience in Google Suite, Adobe, Microsoft Office (particularly spreadsheets and formatting documents). Ability to learn new systems quickly.
  • Good judgment and a professional demeanor.
  • Experience with large scale mail merges.
  • Experience using Powerschool software is considered an asset.
  • Ability to adapt to a fast-paced and changing working environment.
  • Excellent communication and interpersonal skills.
  • Highly organized, efficient, and with attention to detail.
  • Solution oriented with a demonstrated track record of independent work along with creative and proactive problem-solving skills.
  • Demonstrated ability to take initiative and to prioritize tasks.
  • Ability to work both as part of a team and independently. High levels of collaboration.
  • Can do attitude, willing to help with ad hoc tasks.
  • Ability to support, reinforce, and emulate the School’s six core values.
