Reporting to the Assistant Director who oversees Student Life, this Administrative Assistant, supports elements of a school that pertains to the student experience beyond the classroom. You would join a collaborative team of four Administrative Assistants supporting the Senior School’s daily operations and broader programming. This role is embedded in the day-to-day life of the school, with regular interaction with students, staff, and families. It offers a dynamic work environment and the opportunity to take ownership of key responsibilities within your portfolio.  

This is a one year fixed-term contract to cover a maternity leave.  

Responsibilities*

  • Provide operational support to the Assistant Director, Student Life, in the planning, communication and documentation of the following elements related to student-based events and activities:
    • Student orientation and opening week activities
    • Special assemblies such as Remembrance Day, Graduation, Carol Service, and Awards Assemblies
    • Student Leadership, including elections, orientation of new leaders and House-related events
    • Global Trips, including oversight of documentation and communication
    • The Student Exchange Program, including travel preparation of CHS students and orientation of exchange students to CHS
    • Ivy Compass-related activities, such as Ivy Compass Days and Outdoor Education Trips
    • Themed weeks such as Spirit Week, International Women’s Week, and Earth Week
  • Be a knowledgeable ambassador for student-focused programs
  • Act as an accessible and receptive point of contact for students, teachers and parents for all aspects of the co-curricular program
  • Manage the attendance for co-curricular clubs, programs, and activities, and follow up with teacher sponsors as needed
  • Compile and organize data from a variety of documents to support reporting, tracking, and informed planning
  • Support the planning and execution of all co-curricular events, initiatives, and activities, and collaborate with teachers and departments to ensure alignment and smooth operations
  • Be proactive and prepared to contribute to a bi-weekly operational management meeting, the goal of which is to bring together all aspects of Crofton House School operations
  • Oversee the preparation of graduation diplomas, coordinate award engraving, and ensure accurate award distribution to students
  • Coordinate and organize the daily announcements for the Senior School community
  • Oversee Senior School Google Calendar
  • Oversee Senior School room bookings

Knowledge, Skill, Ability, Experience, Attitude 

  • A vision for the impact that an effective administrative assistant can have on a school culture through supporting programs that are focused on student experiences, student voice and student leadership
  • A desire to be part of a team whose roles are integral to the smooth operation of the Senior School and who, as a group, have autonomy over their individual and collective roles
  • A genuine interest in spending your day with students, Grades 8 to 12
  • Well-developed interpersonal skills
  • Strong organizational skills that are demonstrated through proactive planning, excellent documentation and clear communication
  • An ability and the skill necessary to manage complex projects
  • An understanding of risk management and mitigation strategies related to student health and safety
  • An ability to discern which decisions require consultation and which can be decided upon independently
  • A self-starter, willing to take the initiative to develop and/or improve activities and events
  • An ability to work independently
  • Effective oral and written communication skills
  • An understanding of school routines, events and operations, an asset
  • Ability to communicate in Mandarin, an asset
  • Experience using Google Suite applications is preferred
  • Up-to-date First Aid certification

Employment and Application Details:

This role is scheduled to start Summer 2026

Annual Compensation: $55,000 – $62,000, depending on experience.
