It all began on the corner of Granville and 28th where seven fearless women welcomed 17 students to the very first York House School in 1932. Nearly a century later, thousands of students have found their unique path and purpose at YHS. Our School has since grown into one of Canada’s leading independent schools for girls. Today, we serve approximately 700 students from Junior Kindergarten to Grade 12.

About this Role

The Advancement Coordinator will play a critical role in elevating and supporting York House School’s fundraising and relationship-building efforts with the community. The ideal candidate is an expert multi-tasker, has strong communication skills, a passion for philanthropy, and is a committed team player. This position is instrumental in the delivery of programs and services designed to facilitate a lifelong relationship with York House donors, including current and past families, alum and friends of the school. 

Responsibilities:

  • Supports the development and implementation of department initiatives that advance York House fundraising campaigns and its strategic plan.
  • Provides logistical and scheduling support to the Executive Director of Advancement to successfully identify, cultivate, solicit and steward principal/leadership level donors and prospects to meet major gift fundraising goals. 
  • Produces and researches in-depth, well-written and detailed confidential briefing notes,  profiles, bios and collates/extracts donor record information from the database upon request.
  • Prepares and drafts gift agreements, terms of references, donor/prospect correspondence, impact reports, donor profiles, invitations, internal presentation materials and other department communications as needed.
  • Provides logistical support to the school’s Annual Giving Campaign and Legacy Society (Planned Giving) and supports the work to build and maintain relationships with current and future donors of these programs.
  • Supports donor recognition activities, acknowledgement and stewardship programs to ensure an excellent donor experience.
  • Develops and maintains a deep understanding and expert use of the York House donor database while maintaining accurate constituent records to help ensure overall data integrity.
  • Provides coordination support for donor-focused and alum events, acts as a YHS ambassador and attends functions as required.
  • Support the recruitment, cultivation and management of volunteers for advancement and alum activities designed to support fundraising.
  • Collaborates with the Marketing & Communications team when required to support integrated communications to donors and prospects that align with the school’s branding.
  • Develops department analytical reports as requested.
  • Assist the Executive Director of Advancement with expense management, departmental invoicing, travel scheduling and related administrative tasks.
  • Develops and maintains processes and procedures as needed.
  • Maintains a current knowledge base regarding best practices, innovations and trends within the fundraising industry. 
  • Performs other related duties in keeping with the purpose and accountabilities of the position.

 

Qualifications, Skills, Knowledge and Abilities:

  • Excellent public relations, communications and interpersonal skills and the ability to engage effectively with donors, volunteers, staff and the general public
  • Demonstrated experience in fundraising within a non-profit environment, with a strong understanding of fundraising principles.
  • Exceptional  attention to detail and a high level of accuracy
    Strong organizational skills to manage multiple tasks and priorities effectively. 
  • Highly proficient with Raiser’s Edge NXT (or similar database platforms) and proficient with Google Suite applications
  • Strong writing skills with the ability to create, edit and proofread engaging content across various styles and platforms, including proposals, briefing notes, donor profiles and gift acknowledgement letters.   
  • Proven success in building and maintaining donor relationships, with a tactful, proactive, diplomatic and confidential approach. 
  • Proficiency in a second language is an asset.
