Do you enjoy keeping things running smoothly behind the scenes? Brentwood College School is seeking a .8FTE Academic Administrative Assistant to support the work of our Academic Office during the school year. The role works approximately 42 weeks of the year including paid vacation time.

What You’ll Do:

  • Student Records Support: Assist the Academic Registrar with managing student files and processing transcript requests
  • Documentation & Data Entry: Maintain accurate academic records and input information into internal systems
  • Tutoring Coordination: Oversee the logistics of our external tutoring program—including liaising with students, parents, teachers, and tutors, tracking appointments, and supporting tutor recruitment
  • Assessment Administration: Help coordinate provincial Literacy and Numeracy assessments
  • Collaborate with the Team: Contribute to ongoing improvements in administrative processes in a fast-paced, responsive school environment
  • Support Where Needed: Perform other tasks as required to ensure the smooth operation of the Academic Office

What We’re Looking For:

  • Experience: 1-3 years in a professional office setting; educational experience preferred
  • Skills: Proficiency in data management systems, Microsoft Office, and Google Suites
  • Attributes: Exceptional organizational and time-management skills are essential. You thrive in fast-paced environments and can juggle multiple projects with ease, even when faced with competing deadlines
  • Communication Skills: Your written and oral communication skills are exceptional, allowing you to connect with a wide range of individuals effectively possessing an approachable and collaborative working style
  • Tech Savvy: You’re comfortable with technology, particularly Google and Microsoft Office applications like Excel and Google Docs

Education / Experience:

  • 1 – 3 years of experience working in a professional office environment
  • Prior experience in an educational setting is advantageous
  • A college diploma in office administration or related field is considered an asset

  • Criminal Record Check clearance and eligibility to work in Canada are required
