Reporting to the Director of Human Resources, the Human Resources (HR) Coordinator will provide administrative, coordination, system and project support to the Human Resources Department. This position will be a key contributor to ensure HR is providing the best service to our school employees and, will contribute to ongoing process improvements.  This role also provides administrative support to our Chief Financial Officer. This is a Permanent Full Time position starting mid January 2022.

Responsibilities

  • Create and manage job postings and applications in the Applicant Tracking System.
  • Post job openings externally and internally.
  • Manage the employee referral program.
  • Assist with the preparation and participation in career fairs as required.
  • Assist with phone screening and scheduling interviews as required.
  • Manage the reference checking process.
  • Coordinate the new hire on-boarding process, including completion of Criminal Record Checks.
  • Coordinate and participant in the new employee orientation sessions.
  • Update and revise the new employee orientation session material as required.
  • Support with the entry of new hires/rehires into the Human Resources Information System (HRIS).
  • Create and provide regular HRIS reports to managers (e.g. vacation, sick days, personal days).
  • Participate in the joint health and safety committee meetings including distribution of agendas, minute taking and monthly campus health and safety inspections.
  • Support with additional health and safety needs as required (e.g. posters, communications).
  • Assist with the day to day operations of the Human Resources Department.
  • Support the Director of HR with department goals and HR programs and initiatives as required.
  • Respond to general HR inquiries and escalate issues as appropriate.
  • Support with HR recordkeeping in line with document management policies.
  • Ensure privacy and confidentiality of HR matters.
  • Support with filing and maintaining of employee files.
  • Support the Director of HR with additional ad hoc work as needed.
  • Provide administrative support to the Chief Financial Officer (CFO).
  • Maintain the CFO’s calendar and organize meetings.
  • Manage the third party contract process.
  • Support the CFO with ad hoc projects.

Qualifications

  • CPHR designation preferred or in process.
  • Human Resources Management Diploma or Certificate.
  • 3 years’ work experience in a Human Resources Assistant or Coordinator role.
  • Knowledge of applicable Human Resources legislation such as BC Employment Standards Act, WorkSafe BC and Human Rights.
  • Knowledge of and experience with current Human Resources Management practices.
  • Experience working with Human Resources Information Systems/Human Capital Management Systems.
  • Proficiency in MS Office and Google docs, sheets and forms.
  • Exceptional organizational, administrative and interpersonal skills.
  • Demonstrated communication skills, both oral and written.
  • Initiative and problem solving skills.
  • Welcoming, positive and friendly personality.
  • Service orientation; enjoys helping others.
  • The ability to prioritize assignments, meet deadlines and meticulous attention to detail.
  • The ability to work both independently and cooperatively as part of a team.
  • The ability to manage and maintain highly confidential information.
  • Flexibility to take on other administrative and HR duties as required.
  • Experience working in a school considered an asset.
  • Canadian residency and legally entitled to work in Canada.
