Mulgrave is one of Canada’s leading independent co-educational pre-K – 12 day schools, serving the North Shore of Vancouver. We are an established IB Continuum World School with a reputation for excellence and innovation. We are now seeking applicants for the role of Administrative Coordinator for our Senior School division.

Reporting to the Principal of the Senior School, this position is responsible for supporting the administrative needs of the senior school and supporting the University Counselling Department. Logistical support for examinations, divisional events and arranging teacher coverage when necessary. 

Duties and Responsibilities

Including but not limited to the following:

Daily/Weekly areas of responsibility:

  • Managing the schedule of the Senior School Principal & Vice Principals: including the coordination of meetings with faculty, administration, students and parents as well as Senior School activities and events.
  • Principal communication support: 
    • Assist with preparation of presentations, memos, letters and reports 
    • Assist with weekly parent and teacher communications e.g.: Connexions and official communications
  • Senior School Budget: Submit, record and track divisional expenditures
  • Senior School office supplies: order from Office services as needed
  • Student/Parent/Teacher support for administrative issues

Monthly/Term Projects

  • Support with and track the preparation and submission of graduation-related documents 
  • Contribute to supporting the planning and logistics of Graduation events
  • Curate the schedule for student-led conferences (parent appointments)
  • Photo Days: Work with Community Development office to schedule individual student, staff, class and school panorama photo days, collect and distribute photo orders
  • Examinations: Assist with the planning and coordination of Mock IB, IB, and final exams. 

Annual Planning

  • Student School Supply Lists: collect and organise annual lists
  • Senior School calendar: 
    • Compilation assistance
    • Maintain and Update 
  • Academic Calendars:  preparation assistance and distribution 
  • Course Outlines: collect and prepare annual website document 


  • 2 – 3 years office and administrative support
  • Excellent interpersonal skills and a good team player
  • Excellent attention to detail and organisational skills
  • Ability to prioritise assignments and meet deadlines
  • Ability to multi-task and thrive in a fast-paced environment
  • Strong sense and respect of confidentiality
  • Good knowledge of grammar and strong writing skills
  • Proficiency in various computer applications including Google applications, word processing, presentations and database management using Microsoft Office (Word, Excel, Outlook, Powerpoint, Publisher), Adobe Photoshop

The base annual salary for this position is competitive and falls within the range of $50,000.00 – $60,000.00. The final salary offer will be determined based on the candidate’s qualifications, and relevant experience in accordance with BC labour laws and company policies.
