Located in Victoria, British Columbia, Canada, St. Michaels University School (SMUS) is a Junior Kindergarten to Grade 12 day and boarding school with a global reputation for academic excellence. St. Michaels University School’s External Programs Department offers an array of educational enrichment programs for all students.  During holiday periods (winter, spring, summer breaks), the programs provide a learning experience for students aged 6-15 that emphasize skill development, cooperation, participation, and fun.

SMUS Spring Camps deliver customized group school programs to immerse international students aged 12 to 17 in Canadian culture while also improving their English language communication skills. We also have school groups join us in the summer, so there will be additional opportunities for work in the summer months.

The Position:

Reporting to the Director of External Programs, the Program Coordinator – Customized Groups delivers English Language Learner (ELL) programs and organizes cultural activities for international school groups.

The Program Coordinator – Customized Groups is responsible for ensuring that all aspects of the school program are well organized and run seamlessly. The Coordinator will provide ELL program support, pre-arrival preparation, student orientation, coordinating transportation and planning on and off-campus activities. The successful applicant will be a self-starter who is motivated, organized, and capable of creating a positive sense of belonging for all participants, volunteers, and staff.

Hours of Work:

March 13 to March 30, 2023: weekdays, 40 hours per week.

The successful candidate will have the following skills, background and interest:

  • Completed or enrolled in relevant post-secondary education such as Business, Recreation, or Education.
  • Minimum of 1 year of related experience in program development and delivery.
  • Excellent customer service and interpersonal skills.
  • Ability to communicate effectively, both verbally and in writing.
  • Use sound judgement to solve problems or escalate issues as appropriate.
  • Ability to be collaborative and team oriented.
  • Enthusiastic, energetic, a self-starter.
  • Ability to work independently, set priorities and schedule and meet deadlines with conflicting demands.
  • Ability to work cooperatively and develop positive working relationships.
  • Demonstrate attention to detail and be highly organized.
  • Ability to work well under pressure.
  • Experience using Microsoft Office software: Outlook, Word, Excel, PowerPoint.
  • Valid First Aid certificate.

Responsibilities include:

  • Supervises, schedules and supports ELL instructors.
  • Prepares and leads the welcoming orientation and closing ceremonies.
  • Assists instructors in setting up special events; meet with instructors daily in order to determine any special requirements; purchase supplies as necessary.
  • Prepares class lists, student reports, completion certificates.
  • In consultation with the Director of External Programs, responsible for activity planning including all related tasks such as arranging transportation and bookings.
  • Ensures all transportation is booked for off campus activities.
  • Communicates with the Homestay Coordinator, and ensures that host families are all aware of special requirements for field trips, are updated when the schedule changes or receives any other important information as necessary.
  • Schedules and supervises Cultural Ambassadors.
  • Completes incident and accident reports as needed.
  • Takes photos and uploads them to file sharing site.

Criminal Record Check:

Must pass and maintain a clear Solicitor General criminal record check for the purpose of working with children.
