The Position: 

St. Michaels University School (SMUS) is seeking a temporary Assistant to the Junior School Director. Reporting to the Junior School Director, the Assistant supports school leadership by managing schedules, assisting with the coordination of events, facility changes and general custodial tasks. They provide first aid, maintain medical records, and oversee reception duties, ensuring smooth operations and effective communication within the Junior School community.  

Work Schedule: 

Hours of work are generally Monday to Friday from 8.00 am – 4.00 pm.  

Responsibilities include: 

Maintain the Director’s calendar, appointments, meetings, Admissions meetings, and scheduling.  
Assist the Assistant Director with meeting scheduling as required.  
Prepare and distribute correspondence such as e-mails, letters, and monthly newsletters as directed.  
Assist Director and Assistant Director with planning of Junior School events.  
Assist Director with budget overview and report discrepancies regarding tracking of various expenses.  
Liaise with custodial staff on behalf of Director, Assistant Directors and Faculty.  
Prepare monthly calendar for custodial staff, outlining upcoming events and tasks.   
Assist the Director’s office with coordination of facility changes including (Information Technology), furniture, space planning, moving, custodial (painting, repairs) etc.  
Create the Junior School Google calendar each term and maintain calendar as events, programs come online (liaise with Assistant Director & Director)  
Assist with managing the Outdoor Education Google docs and communication to families.  
Coordinate with Director to maintain contents of various handbooks (Junior Kindergarten, K-5 Information Package, Staff Handbook etc.)  
Book catering (internal and external), and buses for Junior School events.  
Communicate with parents, staff, and students through the Student Database System, including newsletters, event information, and updates, as directed by school leadership.  
Assess and treat student injuries and illnesses, providing first aid and liaising with parents, faculty, and Assistant Directors as required.   
Maintain confidential student medical records in coordination with the Assistant Director, including information on risk management and medical conditions.  
Manage reception duties, including greeting visitors, handling phone calls, assisting students, and managing supplies for the Junior School.  

Experience and Qualifications: 

A High school diploma and completion of post-secondary education in Office Management, Business Administration, or other relevant disciplines.    
Minimum 2 years’ experience working in a school or other youth-oriented setting.  
Excellent ability to work with all stakeholders at the school.   
Excellent writing and communication skills.  
Ability to support projects from idea to completion.   
Team member, collaborative, flexible with excellent customer service skills.  
Expert at managing several tasks/projects at one time and setting priorities.  
Efficient, confidential, and accurate worker.  
Excellent Microsoft Excel, Word, Publisher, Outlook and Google Doc skills. Student Database Systems knowledge would be an asset.  
First Aid certification.  

Pay Range: 

Hourly range: $31.08 – $36.55 

Criminal Record Check: 

Must pass and maintain a clear Solicitor General criminal record check for the purpose of working with children.
