About this Role 

The Controller, reporting to the Chief Finance and Operations Officer, is a key member of the Finance team and plays an essential role in the overall operations of the School. This position supports the School’s strategic growth through effective financial leadership and operational execution, including the development, implementation, management, and oversight of integrated financial systems, policies, and procedures. The Controller is responsible for the management and safeguarding of all financial assets, as well as overseeing all accounting functions for both the Society and the Foundation.

Key Accountabilities

 Accounting

  • Oversees all accounting and financial management functions, including monthly bank, payroll and balance sheet reconciliations while ensuring the safeguarding of significant financial assets and data.
  • Manages the accounting and financial reporting? of reserves and the Foundation 
  • Reviews  payroll processing, employee benefits, RRSP contributions and related filings to ensure accuracy and compliance. 
  • Monitors and reduces overdue student and customer accounts through effective receivables management practices.
  • Oversees capital asset accounting, including tracking project expenditures against approved budges for facility improvements and maintaining the fixed asses and depreciation schedules.  

Staff Leadership

  • Provides direct supervision and leadership to the Accounts Receivable and Accounts Payable Coordinators, Payroll and Benefits Administrator,  and Senior Accountant.
  • Conducts annual performance reviews and supports the ongoing development, coaching, and performance management of Finance team staff. 

Systems

  • Recommends, develops, implements and administers effective financial systems and integration with other related systems such as Admissions, Raisers Edge, Financial Edge, ADP systems
  • Manages the general ledger to ensure the completeness, accuracy and integrity of financial data. 
  • Leads the development, standardization, and automation of financial reporting processes to improve efficiency, consistency, and decision-making.

 

Financial Planning and Analysis

  • Prepares quarterly financial statements,  forecasts, variance analysis and related reporting to support informed decision-making.
  • Develops and maintains financial dashboards to provide timely and meaningful operational and financial insights.
  • Assists the Chief Finance and Operations Officer with the preparation and coordination of the annual budgeting process.
  • Performs ad hoc financial analysis and reporting as required to support strategic and operational initiatives.

Cash Management

  • Monitors daily cash flow and performs treasury management functions, including optimizing interest on short-term investments, managing operating lines of credit and ensuring available foreign exchange funds

Reporting Responsibilities

  • Coordinates  month-end close process and analysis to budget managers on a quarterly basis
  • Prepares financial information for annual reports 
  • Oversees annual benchmarking and reporting submissions for  CAIS, NBOA and ISABC
  • Prepares financial analysis and reporting for York House School Foundation,  as required
  • Prepares and maintains reserve fund reporting and related analyses. 
  • Reviews and oversees all tax filings and statutory remittances to ensure accuracy, compliance and timely submission. 

Audit and Compliance

  • Oversees all finance-related aspects of the annual eligible student audit and annual financial statement audit, including required schedules, supporting documentation and financial statements. 
  • Maintains current knowledge of  Canadian Generally Accepted Accounting Principles (GAAP), Canada Revenue Agency (CRA) regulations and related policies and assists in assessing their impact on the organization. 
  • Ensures full compliance with all statutory, regulatory and reporting requirements. 

Fundraising Support

  • Works collaboratively with the Advancement Team to reconcile donations and ensure compliance with applicable policies, regulations and donor requirements.
  • Ensures funds are accounted for and disbursed in accordance with donor-designated intent and organizational policies. 
  • Supports the Advancement Team in the development of financial information and analysis for fundraising materials and donor stewardship reporting.  
  • Coordinates the allocation and use  of PAC Gaming Grant funding in collaboration with Academic Directors and the Parents’ Association

Insurance

  • Assists the CFOO in the annual insurance renewal process, ensuring accurate asset valuations and providing necessary data for General Liability, D&O, and Cyber insurance policies.

Policies and Procedures

  • Recommends, develops, implements and administers effective financial policies and procedures to support strong governance and operational effectiveness. 
  • Identifies and implements process improvements to enhance efficiency and reduce costs.
  • Develops and maintains internal control frameworks including related monitoring and testing processes. 
  • Ensures financial records are maintained in accordance with organizational document management policies and regulatory requirements.  
  • Supports the implementation of major projects
  • Performs other related duties in keeping with the purpose and accountabilities of the position

Competencies and Qualifications

  • University degree in Accounting or a related discipline
  • CPA designation is required
  • Strong knowledge of  compliance requirements (i.e., PIPEDA, CASL, CRA, PCI)
  • Experience in systems development, policy development and controls is considered an asset
  • Experience in a not-for-profit environment and/or with fund accounting preferred.
  • Previous experience working in an independent school or educational setting is considered an asset
  • Experience with managing payroll functions and related processes. 
  • Strong understanding of accounting practices and applications in accordance with best practices
  • Demonstrated analytical, organizational, and problem-solving skills, with a high degree of accuracy and attention to detail.
  • Knowledge of Blackbaud’s Financial Edge database and familiarity with Blackbaud’s On Products an asset
  • Intermediate to advanced ability working with database management or information systems Intermediate to advanced skills in Microsoft Office Suite (MS Word, Excel, PowerPoint) as well as proficiency with Mac, Google docs and Gmail Advanced skills using spreadsheets. 
  • Self-starter with excellent problem-solving abilities who demonstrates initiative and a proactive approach to work.
