Job Title: Junior Accountant (1-year temporary, March 1, 2021 to March 1, 2022)

Department: Finance

Reports to: Controller

Interfaces with: Vendors, faculty, staff, students and the entire school community

Scope of the position

In addition to the Director of Finance and Operations (DFO), the finance department consists of a Controller, a General Accountant/Payroll Administrator, Junior Accountant and an Administrative Assistant.  Although each individual has specific duties, we operate as a team with appropriate cross training so the department can function effectively when one team member is temporarily absent.  The team is responsible for a variety of accounting and administrative tasks and our objective is to provide support to the school’s programs.

Qualifications and Experience

●        Minimum 1-year experience performing general accounting duties

●        Experience completing vendor account reconciliation

●        Experience with accounts receivable processing and collections

●        Experience with full cycle accounts payable including cheque runs

●        Experience using Microsoft Word, Excel and the Google platform

●        Experience with Sage 50 an asset

●        Good working knowledge of Excel

●        School Experience is preferred, but not required

Key Responsibilities

Accounts Payable 

●        Ensure requests for payments meet criteria i.e. coding, approvals, processes and disbursing invoices

●        Reconciliation of school credit cards

●        Provide support for CAD and USD cheque preparations when General Accountant is on leave

●        Work with Administrative Assistant to distribute processed cheques to the appropriate vendor i.e. staff and external vendors

●        Preparing A/P items for filing

●        Manage transit pass ordering, distribution and reconciliation in accounting software

●        Work with Administrative Assistant creating vendor files and ensuring clear labelling,  proper filing and annual archiving of A/P files

●        Create and maintain the lists of onsite Financial files such as A/P and A/R in storage room with destruction dates in accordance to CRA regulations

●        Process EID refunds for students’ withdrawals or graduations

●        Maintain family files and archive files as students leave or graduate from school ensuring retention in compliance with regulation

Accounts Receivable

●        Responsible for a portion of annual family billings (approximately 450 accounts), sending invoices to families, processing all charges and applying payments according to a deadline

●        Set up families in the Sage database, collecting and recording EID payments and tuition payments upon entering the school

●        Back up processing receipts of pre-authorized debits, cheques, credit cards and cash (cash is not taken for tuition payment)

●        Prepare bills, process payments and refunds from after school care, day camps and summer camps

●        Produce tax receipts for childcare services annually with assistance of General Accountant

●        Produce EID refunds for student withdrawals or graduations

●        Back up reconciling Accounts Receivable accounts and following up on past due accounts

Other 

●        Administrative Assistant back up

●        Provide support to the Events and Facilities Assistant for events such as concerts and sporting events

●        Help with traffic duty during academic school year

●        Assist with distribution of annual T2202 and T4A slips to families

●        Provide support during annual Financial audit

●        Other duties as assigned
