Position Purpose & Overview

St. John’s School is seeking a dedicated and dynamic Teacher on Call (TOC) Coordinator to assist in covering teacher absences to allow us to successfully operate the School each day. The TOC Coordinator will receive requests for coverage and are responsible for utilizing our existing TOC roster to effectively cover classes, and keep track of types of absences. They will also be responsible for reviewing teaching credentials and matching TOC educational backgrounds with specialized teacher absences.



Key Responsibilities

  • Receive and respond to requests for TOC coverage from SJS teachers.
  • Coordinate coverage using TOC’s and internal staff to cover all teacher absence(s).
  • Responsible for ensuring all TOC’s understand daily procedures when they are called into work and that they have read and are familiar with the TOC package.
  • Understand absence categories and limits as defined by the Contract Related Terms of Employment.
  • Responsible for recording and tracking teacher absences (types & number of days) and informing Junior and Senior Principal/Assistant Principal.
  • Answer or appropriately redirect any inquiries from TOC’s regarding onboarding, offboarding, and the daily routine when called into work.
  • Inform the Junior and Senior School Principals about any changes regarding TOC callable status or changes to availability.
  • Cross reference the TOC logs at the end of each payroll cycle to ensure accuracy before it is submitted to payroll for processing.
  • Collaborate with the Experiential Learning Coordinator to find chaperones for camps and other experiential learning trips.
  • Ensure any special instructions for assigning TOCs are followed.
  • Utilize TOCs as efficiently as possible across the Junior and Senior School.
  • Review TOC teaching credentials considering their areas of specialty, with the Junior and Senior School Principals and Assistant Principals to most effectively allocate TOC’s within the school.


This role will require working hours outside of school office hours: often during early mornings before the school has opened; occasionally going onsite to facilitate and speak with appropriate staff; and occasional evening and weekend commitments.

It should be understood that the activities, responsibilities and obligations of this position may be modified from time to time, through discussion between the direct supervisor and the employee, in order to effectively meet the requirements of the School. On rare occasions where there are urgent needs at the School, an employee may be assigned to temporarily backfill role(s) critical to the school’s operations and business continuity.

  • Reports to: Senior School Principal, Junior School Principal, Assistant Junior School Principal & PYP Programme Coordinator
  • Key Interactions:
    • Internal: Faculty, non-teaching employees, payroll administrator, Students, School Principals, and Assistant Principals.
    • External: Teachers on Call


Position Details

  • Part-time contract position from August 26, 2024 to June 13, 2025
  • Work location: Remote and on-site (2 hours off-site and 1 hour on-site per day). The on-site hour would average 7:00AM-8:00AM Monday to Friday. The position may potentially be moved to a completely remote model.
  • Comprehensive benefits package.
  • Work hours are expected to fluctuate depending on the number of teacher absences. Access to mobile devices is required. A reasonable cell phone stipend will be paid for the usage of your cellular device as per school policy.
  • Contract fee of $15,000.00 for the contract period 


Required Qualifications and Key Skills

Education & Work Experience

  • Need to be legally entitled to work in Canada.
  • Comfortable with Google Workspace including Gmail and Google Drive.
  • Well-versed in technology to effectively communicate for TOC coverage.


Qualities and Skills

  • Excellent client service and interpersonal skills.
  • Ability to communicate effectively, both orally and written, with internal and external clients.
  • Ability to be tactful, demonstrate excellent judgment, and work as a positive and collaborative team member.
  • Enthusiastic, energetic, a self-starter and the ability to work independently.
  • Organized with the ability to work under deadlines with conflicting demands.
  • Ability to balance multiple priorities and organize one’s schedule to meet deadlines.


Conditions of Employment

  • The successful candidate will be required to complete child abuse prevention training, concussion training, Level 1 first-Aid training provided by St. John’s School and provide consent for a criminal background check for vulnerable sector.
  • Ability to legally work in Canada, in an educational setting is a condition of employment.
