Interfaces with: Senior and Academic Leadership, other staff and faculty, students and other members of the school community, third party contractors, and members of local community/neighborhood

School History: Founded in 2000, Stratford Hall is located in the heart of East Vancouver. An innovative International Baccalaureate (IB) World School, serving students from Kindergarten to Grade 12, Stratford Hall has grown steadily under the care of inspiring leaders and talented and thoughtful teachers and support staff. Over the past decade, the School’s graduates have matriculated to outstanding post-secondary institutions in Canada, the United States, and abroad.

Position Rationale and Goal:
The Executive Assistant to the Head of School provides consistent, confidential, and professional administrative support for the Head of School in order to maintain the well-being of the school and the broader community. The Executive Assistant to the Head of School plays an integral role in the day-to-day goings on of both the faculty and the student body. The ideal candidate will be the first line of communication between the Head of School and the wider community.

Ideal Candidate Profile and Qualifications:
Candidates for any position at the school are expected to possess:
5+ years of related experience, and/or independent school experience preferred

For this position, the ideal candidate will have:
Strong interpersonal communication (verbal and written) skills
Exceptional computer skills in the Google Suite, Microsoft Office and/or other databases
Proven ability to work quickly, efficiently and accurately on assigned tasks
Ability to meet deadlines
Strong proactive team player, flexible and self-motivating
Ability to work independently and manage a variety of tasks concurrently

Key Responsibilities:
Executive Assistant to the Head of SchoolPromote the school’s mission, making it the center of all decisions and actions
Support an atmosphere of trust and openness among teachers, students, and parents
Organize and review daily priorities for the Head of School
Schedule, maintain, and confirm the Head of School’s appointments and calendar activities
Manage and screen the Head of School’s phone calls, make travel arrangements, prepare expense reports, and provide general clerical duties
Assist the Head of School with work and events related to the Board of Trustees
Manage arrangements for faculty/staff meetings and employee events as required
Record meeting minutes
Manage all personnel documents
Coordinate finalist interview schedules for job applicants and welcome them to the school
Assist in planning campus-wide events, orientations, and database management
Critical front-line responder in crisis management
Compile information as requested, formatting reports, graphs, tables, records and presentations
Assume responsibility for other projects as assigned by the Head of School
Secretary to the BoardAssist the Board Secretary in recording minutes of Board meetings
Maintain the Board Google Drive, including posting documentation and requesting account creation/deactivation
Book rooms and/or other facilities for Board/Committee meetings or board-sponsored events, including organizing food, refreshments, and room preparation upon request from the Board Chair/governors
From time to time, the EA will support the Board with other duties as assigned
