TITLE: Administrative Coordinator

REPORTS TO:  Executive Director

ACCOUNTABLE TO: Executive Director and the Board of the ISABC


Full-time permanent – 40  hours a week with additional hours as needed

Office location at Mulgrave School, 2330 Cypress Bowl Lane, West Vancouver, V7S3H9 (please note that there is no public transport to this location although rideshare may be possible). Some virtual work may be possible.

Office Duties
Responsible for the smooth operation of the ISABC office
Answering or referring incoming telephone calls and managing mail
Providing information to people who inquire in person or by telephone
Dealing with ISABC colleagues and the wider public in a professional, wise and discreet manner exercising sound judgment
Regulating and scheduling general office workflow, and maintaining an electronic copy filing system
Creating, modifying, reviewing, proofreading and formating documents such as reports, charts, spreadsheets, and letters using word processing, spreadsheet, database software such as Microsoft Office Suite, google docs
Conducting research, compiling data and preparing summaries as requested
Responsibility for updating the Association’s calendar and contact list
Typing, preparation and reproduction of the ISABC correspondence, memos and briefs
Responsibility for the monthly ISABC Newsletter
Maintaining a current register of the ISABC member schools
Managing work related to the computers, checking for e-mail – incoming and outgoing
Creating a database for the Society for the purpose of extracting accurate information to be used in statistical data, merging letters, analysis reports, and mailing labels, keeping records of Leadership group attendance
Managing data – to prepare and present data on the Society to ensure its brand profile
In collaboration with the Executive Coordinator, organizing special events, meetings and professional development days
Providing clerical support for the Executive Director as required, including making travel arrangements, conference registrations and meeting schedules
With the Executive Coordinator, coordination and scheduling of leadership and collaboration groups

Oversight of the ISABC communications strategy –  profiling the Association through social media and the website
Daily posting on social media – twitter, Instagram and facebook
Updating the website – operations, events and news
Engaging in social media – posting on Twitter/Facebook/Instagram
Producing the monthly ISABC newsletter
Data collection and presentation to profile the Association’s public good
Search engine optimization (SEO) monitoring
Designing posters, pamphlets and leaflets to promote the Association’s activities

Additional Duties
Attending Heads’ meetings of the ISABC when the Executive Coordinator is not available to take minutes and maintaining an up-to-date record of these minutes.  Highlighting from the meetings any business or subject requiring further attention on future agendas and notifying the Executive Director of them at the appropriate time
Providing support to the Executive Director, Executive Coordinator and the ISABC Board in matters that arise periodically that are not included under the specific job responsibilities
Maintaining confidentiality on all issues relating to personnel, sensitive office correspondence, conversation and confidential organizational interactions
Taking the initiative in identifying areas to streamline and improve operations and delivery of the Association’s services
