QMS is growing, and we are searching for a new Financial Controller to join our Team. This new position has been created due to the school’s growth and is an addition to our existing friendly team of finance professionals.


The Financial Controller will report directly to our Director of Finance & Operations and work collaboratively with other department heads in QMS, providing innovative financial and operational leadership to support educational and business priorities identified in the QMS strategic plan.


The Financial Controller will be responsible for supervising the work of the school’s Finance team: managing and maintaining the financial accounting systems, payroll and benefits, budgeting, and assisting with financial reporting for the school.

Main Areas of Responsibilities.


Manage and implement the accounting functions of the school, including, but not limited to:Payroll and benefits
Administer employee group insurance, RRSP, and other benefit plans
Accounts payable/receivable transactions
Maintain accounts receivable listing and track payments, escalating school response as required
Prepare, record, and reconcile all fee invoices for new & returning students working in cooperation with the Admissions and Equestrian departments
Accurate monthly and year-end account reconciliations
Banking transactions (wires, electronic fund transfers, etc.)
School shop and inventory transactions
Manage school shop operations, including periodic physical inventory counts and reconciliations
General ledger journal entries
Keep track of school funds and investments
Prepare monthly financial statements and cash flow projections
Liaise with the auditor at year-end to complete annual financial statements.


Oversee the maintenance of the School’s Accounting and Payroll files, ensuring documents are accurate, complete, secure, and in compliance with established administrative guidelines and legal requirements
Ensure timely preparation of all financial reports, including income statements, balance sheets, variance reports, information returns, and statutory reports for government regulatory agencies and school associations by generally accepted accounting principles (GAAP), school policy, and best practices
Manage cash flow and prepare cash flow forecasts by policy
Manage the acquisition of capital assets and ensure that assets are properly recorded, amortized, and disposed of as appropriate
In collaboration with the Director of Finance and Operations, develop the annual budget
Manage the budget for the current year, as well as establish guidelines, forecasts and prepare schedules for future budget years
Provide for the securing of an annual audit of the school’s financial records and financial positions
Recommend and Implement accounting policies and procedures as required
Review and make recommendations to improve and change the accounting system, workflows, and processes.
Oversee, mentor, and manage the school’s accounting staff, infusing a culture of teamwork and collaboration
Assist accounting support staff in their professional development and growth, and ensure they remain on target and accomplish their annual goals
Plan and deliver appropriate training and professional development as needed
Develop and maintain a collaborative working relationship with users, vendors, ISABC working groups, and other related groups.
Respond to accounting-related calls, concerns, and complaints and determine the appropriate course of action, referral or response
Other duties/projects as assigned by the supervisor

Preferences will be given to candidates who also have the following skills and qualifications:


A professional accounting designation     (CPA)   or        equivalent  combination of education and or experience and complete cycle accounting experience (Minimum of 3 years of Post-Secondary Accounting Courses)
High level of IT proficiency/experience in a range of accounting systems
Minimum of 3 years experience in a similar position
Invoicing and general ledger knowledge      and      experience
Strong computing skills    (Word  processing       and      Excel)
Skills and solid experience with financial systems, financial reporting, financial and business planning, budget preparation, and adherence to statutory, regulatory, and other policy standards and requirements
An understanding of         Canadian         accounting      principles        for non-profit organizations        would be beneficial but not essential
Experienced with setting up account structure and implementation of a new accounting system for school is an asset
Ability to accurately analyze, interpret, summarize, and present financial information
Strong interpersonal and cooperative working skills, including a high level of customer service for both internal and external customers (including parents and colleagues) 
Excellent verbal and written    communications skills

Strong administrative ability and organizational skills
Ability and willingness to maintain confidentiality
