Meadowridge School seeks a dynamic, outgoing, and highly detailed individual to join our team in the role of an Administrative Assistant in our Post-Secondary Counselling Department. The Administrative Assistant is responsible for a wide variety of administrative duties.

Meadowridge is an independent, co-educational, secular day school offering an IB education to over 660 students ages 4 to 17 (JK to 12). The school campus is located on a 10-acre, forested parcel of land on the outskirts of Maple Ridge, BC. Our campus and facilities have been carefully designed to align with our connection and appreciation of the natural world. Our physical spaces reflect the importance of movement, play and interaction with the outdoors. Exterior doors from classrooms provide quick access to natural spaces, including a community garden, green houses, a forest with a trail network, and a newly developed campground area. Our play spaces are vast and take into consideration the developmental needs of children.

Job Duties

·         Works with High School Principal, Associate Principal and Post-Secondary Counsellors, to ensure the prompt and timely completion of assignments and fair distribution of workloads.

·         Sets priorities and determines most suitable work methods.

·         Manages some of the academic components of university applications, such as reference letters and transcripts.

·         Research, analyse, and select material, data and information for the compilation, preparation and processing of a variety of reports, records and statements.

·         Assists with mark entering and/or verification between systems.

·         Supports departmental communication with teachers, students, families, and external parties.

·         Coordinates the maintenance of the Post-Secondary Counselling Department’s resources, ensuring students and Post-Secondary Counsellors have current and substantial resources.

·         Manages the department’s calendar, including the scheduling and coordination of university liaison visits to the school.

·         Helps to identify and advertise external post-secondary events and enrichment opportunities for students and families.

·         Liaises with distance education providers to collect appropriate documentation when needed.

·         Coordinates timelines and applications for internal and external scholarships.

·         Maintains relevant sections of Naviance portal.

·         Assists with the administering of the PSAT exam.

·         Assists with the coordination and execution of events, such as university presentations and fairs, graduation events, and annual Career Roundtable.

·         Supports the Post-Secondary Counsellors and Kindergarten teachers with the planning of monthly Kinderbuddy activities.

·         Other duties as requested.


·         Successful completion of Grade 12 with course emphasis on business practices and procedures plus a special program in administrative skills.

·         Ability to operate office equipment such as computers, printers, scanners, facsimiles, and multi-line telephones. Knowledge of spreadsheet, database, and word processing are essential.

·         Demonstrated ability to organize workflow and office procedures such that work is prioritized to meet deadlines while dealing with distractions.

·         Demonstrated ability to work at the level of independence and with the degree of initiative appropriate to the position.

·         Demonstrated ability to communicate effectively with staff, students, parents, and visitors and to function harmoniously in an office environment.

Working Conditions

·         Ability to attend after-hours presentations and events.

·         Manual dexterity required to use desktop computer and peripherals.

·         Overtime as required.
